Introduction
Granting access to monday.com board items
The most common reason to make use of the Client Portal Builder for monday.com is to grant select clients access to your monday.com board items in a conveniant and easy way. For this, the app provides the concept of board sources which can be created and managed based on the type of boards that should be used and displayed. Watch the video below to get a quick overview.
Board Sources
Manage monday.com boards with different board source types related to the use case
Imagine board sources as an abstraction layer in between your actual monday.com boards and grid or table sections in the Client Portal Builder. Choose from multiple different board source types that fit your requirements best. Down below each type is explained in detail.
Board Source: Client Subitems
Display subitems of your Clients Board
The first and most easy option is to display subitems of your Clients Board to each specific client and its related accounts that sign in to your client portal. This board source is part of the core and available by default, therefore it doesn't need to be created manually.
Board Source: Shared Board
Display items from one board to all clients
The Shared Board option covers the use case where all clients and their related accounts should gain access to the same board and all items. This is useful to share general information and documents or files that are relevant to all clients likewise. The example below assumes you want to share the contact information of your subcontractors to all your clients, so they can reach out to them directly on demand.
Board Source: Shared Client Board
Display items from one board to select clients
The Shared Client Board option covers the use case where only select clients and their related accounts should have access to the same board but only to specific items. Choose this type when you have one board where items for different clients live on one board. It is mandatory to have a Connect Board column in such a board that references each client from your Clients Board. You need to select that column in the board source settings. The example below assumes you want to share the contact information of specific subcontractors only to select clients.
Board Source: Client Board
Display items from one board to one client
The Client Board option covers the use case where one specific board is related to one specific client, and access should only be granted to this one client. This is useful if you have separate monday.com boards for each client that e.g. contain only client related data. The board you choose in the board source settings, is only considered as a blueprint board. This blueprint board lets the app know about the column structure to be used for each actual board that should be displayed in the client portal. After setting up and saving the board source, it is mandatory to choose each actual board one by one in the client settings of your Clients Board. The example below assumes you want to share the whole Deal Tracker board with only your first client.
Board Sections
Combine board sources and board sections
After setting up the board sources, it's time to connect them to the content sections that are displayed in your client portal. At this point, two sections support board sources – Board Grid and Board Table. Add either one to a page, choose the board source, and set up the section. If everything is configured right, only the items that are meant for each client are displayed in your client portal.
