Error messages

Client portal error messages and how to fix them

Most errors in Client Portal Builder for monday.com come from a setup step that is missing or a board that changed after setup – not from a bug. Find the message you see below, grouped by where it appears. For outages and sudden errors on every page, see Unexpected errors and the status page instead.

The setup in one sentence

The Client Portal Builder board view is added once, next to the main table of your Clients Board, where each item is one client. Login methods are created in the Client Settings item view of each client item, and every other board is connected from inside the builder. Many of the errors below go away once the setup matches this.

In monday.com

Errors while setting up the portal

These appear in the app views on your monday.com boards.

"Client Portal is not set up yet"

The Client Settings item view is on a board that has no portal. This happens when the portal was set up on a different board than the one holding your clients, or when the board view was never added.

Add the Client Portal Builder board view to the board where each item is one client, and set up the portal there. If you already built a portal on another board, it isn't connected to these clients: the board with the portal is the Clients Board.

"You are not a board owner" or "User is not a board owner"

Only board owners of the Clients Board can open the builder, add the app views and manage clients and their logins. Being a member, an admin of the account or the creator of the board isn't enough – you need the owner crown on that board.

Ask a current board owner to open the board's Invite dialog at the top right of the board and click the crown next to your name to make you an owner. The same applies to the Clients Board of every other portal on your account.

"Integration user is not a board owner"

The portal fetches all board data on behalf of one monday.com user, the integration user, who must stay a board owner of the Clients Board. If they were removed as owner, make them an owner again. To hand the portal over to someone else, the new person needs to be a board owner first and then registers as integration user in the portal settings.

"Missing permissions" in the portal settings

A new feature needs a permission the app didn't ask for when it was installed. Click Authorize next to the integration user in the portal settings and accept the request.

If the label stays after authorizing, your monday.com user isn't allowed to grant app permissions on the account. An account admin has to authorize it, or give your user that permission.

A board doesn't show up when connecting boards

The app only sees boards in the workspaces it was given access to. Add the workspace in monday.com under Administration → Apps → Client Portal Builder → … → Permissions; see Connecting boards across workspaces. There's no need to reinstall the app. Boards from other monday.com products, such as CRM, Service or Dev, work the same way.

For the Show selected items to specific clients from one board source, the board also needs a connect boards column linked to your Clients Board. You can create it right from the board source dialog.

Mismatch warnings on dedicated client boards

With Show each client their own dedicated and assigned board, every client board must keep the exact structure of the template board. Adding a column or changing a status label on one board after setup, or a label that differs only in capitalisation, causes a warning. Apply the change to all boards, then turn on Automatic Mismatch Handling. A status label mismatch only matters if a filter uses that column.

In the portal

Errors and empty sections in the portal

These are what your clients – or you in Preview – see on a portal page.

"No matching results found."

The section works, but this client has no items in it. (Older versions of the portal showed "Looks like there is currently nothing to show here".) Check, depending on the board source:

  • Selected items from one board: the items are linked to this client in the board's connect boards column, and that column is the one chosen in the board source.
  • Client subitems: this client's item on the Clients Board has subitems.
  • Dedicated boards: the board assigned to this client has items.
  • Board filters: the section's filters in its Filter + Sorting dialog don't exclude everything. Status rules match labels by ID, so a deleted and recreated label can stop matching; see Status filters and label changes.

Preview always shows the first client on the Clients Board. To check another client, open the preview from that client's Client Settings item view.

"No board associated with this section" or "There is no board configured for this client."

The section uses Show each client their own dedicated and assigned board, and this client has no board assigned yet. Open the client's item on the Clients Board, go to the Client Settings item view and choose their board; see Assigning dedicated boards. This has to be done for every client, including new ones.

"The board configured as the source for this section could not be found."

The board was deleted, moved to a workspace the app has no access to, or the integration user lost access to it, for example because the board became private. Restore the access, or point the section to another board in its board source.

"The client column configured in the board source settings could not be found on the board."

The connect boards column that links items to clients was deleted or replaced. Edit the board source and choose the column again – or create a new one and link the items to their clients again.

"Failed to access resource" or "Missing permissions to access resource"

The section refers to something that is gone or out of reach: usually a column that was deleted but is still used as a visible column or in the section's filters, or a board the integration user can no longer open. Open the section in the builder, remove the deleted columns from the columns and filters, and save and publish again.

"Your access to this item has expired due to inactivity."

For security, the permission to edit an item, upload a file or click an action button is only valid for three hours after the page was loaded. If the portal stayed open in a browser tab for longer – common on phones – buttons and uploads stop working. Reloading the page or the section fixes it.

"The monday.com API is temporarily unavailable" or "An unknown error occurred while accessing the monday.com API"

The portal reads every board live from monday.com, so problems at monday.com show up in the portal. These are almost always temporary. Check the status page and try again later; if the error stays for hours, contact us. "Rate limited by the monday.com API" means too many requests in a short time, often from boards with many mirror columns or many clients online at once; see Slow client portal performance.

At login

Errors when clients sign in

A client account is a login method on the client's item, created in the Client Settings item view – not a monday.com user and not an email or password column on the board. See Client login methods.

"This client could not be found." or "This account could not be found."

There's no login method with this email address in this portal. Check that:

  • a login method was created for the client in their Client Settings item view – adding an email column to the Clients Board doesn't create one;
  • the client uses the email address of that login method, without typos;
  • the client opens the right portal, if your account has several.

Upper and lower case in the email address doesn't matter.

"This client is currently disabled." or "Your account is currently disabled."

Either the client or this particular login method is switched off. Enable both in the client's Client Settings item view.

"Your password is incorrect, please try again."

Set a new password in the client's Client Settings item view, or let clients reset it themselves with a workflow; see Reset client passwords.

Locked out after several wrong passwords

After 5 failed sign-ins with the same email address within 10 minutes, the portal blocks further attempts for that address for 10 minutes. The block can't be lifted early; wait and try again. The login text is a good place to explain this to clients and say how to reach you.

"Session expired, please sign in again."

Clients are signed out after a period of inactivity, and occasionally when monday.com has temporary problems. Signing in again is all it takes.

Custom domain

Problems connecting a custom domain

A custom domain needs one CNAME record for your subdomain pointing to proxy.clientportalbuilder.com; see Custom domain. An A record doesn't work, and opening proxy.clientportalbuilder.com directly in a browser shows nothing – that is expected.

"Domain is already in use in another portal."

The domain is still connected to another portal, often a test portal on the same account. Disconnect it there first. If that portal can't be opened anymore because its board was deleted, contact us and we'll release the domain.

The domain shows another website or another tool's page

The CNAME record still points somewhere else – for example to a previous portal tool – or your DNS host redirects all subdomains to your main website. Edit the existing record for the subdomain instead of adding a second one, remove the redirect rule, wait for the change to spread (minutes, sometimes hours) and click Check status in the custom domain settings.

If your domain's nameservers belong to Cloudflare, the record has to be created in Cloudflare, even if the domain was bought elsewhere. You can look up what your subdomain currently points to with a CNAME lookup tool.

Cloudflare "522: Connection timed out"

The CNAME record is set in Cloudflare with the proxy turned on. Set its Proxy status to DNS only (grey cloud).

The redirect to the custom domain can't be turned on

The redirect from the default portal address becomes available once the domain shows Connected. Fix the DNS record first, then publish the portal again after turning the redirect on.

Automations

Errors from Client Portal Builder automations

When one of the app's automations or workflow builder actions fails, monday.com shows the reason in the automation's run history and notifies its creator.

"Automation creator is not a board owner of the clients board"

Automations that create or change login methods run as the person who created them, who must be a board owner of the Clients Board. Make them an owner, or have a board owner recreate the automation.

"No integration user assigned"

The automation runs on a board that has no portal set up. (Older versions said "no board manager is defined".) Client Portal Builder automations belong on the Clients Board, where the Client Portal Builder board view is.

"Could not resolve client item by email"

No login method in this portal uses that email address. Check the address the automation passes on, and that the login method exists.

"Invalid client item"

The item the automation passed isn't on the Clients Board of this portal, for example because the automation runs on another board. Pass the client's item from the Clients Board, for example through a connect boards column.
